Cloud email with fall-back & Internet Threat Blocking

Email is a mission critical part of the business process, receiving orders, sending information, correspondence, meeting booking and data exchange with new and existing clients providing the business with a fast reliable communication service.

However, unlike the postal service, e-mail delivery is much less traceable - if your email server is down. what happens to the email that has been sent?

If the email cannot be delivered it could be returned to sender at some time or lost in the ether, then an action needs to be taken to resend the returned email if it is noted by the sender.

Cloud mail with fall-back detects that your email server is down and stores the emails until it can be delivered once the email server connection is restored or in the event of a total failure or loss can be redirected to a new location without loss.

The business impact is that there are no emails that are lost or require resending ensuring that you don’t lose any valuable communications.

We are all used to the traditional concept of anti-virus & firewall software running on our servers and PCs that prevents threats from virus, spam, and attacks infecting our data.

There are two issues; the first here is that the unit has to perform tasks that drain system performance and therefore slows down the PC or server. Secondly each PC or server has to have up to date software installed and running to provide protection.

Vetting, cleaning, checking the data and blocking harmful threats and problems before they get to your network dramatically reduces the risk of infection and reduces system overheads so increasing performance. To find out more contact us now.

Integrated backup and archiving

Data is the life blood of your organisation without it most business and organisations go out of business or are seriously impaired after a total or partial loss of data.

The cost and time associated with backup and recovery are often seen as prohibitive and would only act as an insurance policy if the worst was to happen, and as we all know it never happens to us!

More attention is placed on recovering the servers, network and infrastructure than the data because that’s the easy bit. But the impact of not having the data on your customers, their details, legally required documentation, invoices, emails and correspondence means that your business would find it hard to recover and while you’re not communicating your competitors would have that window of opportunity. Document management

Document management is an area that is become more important to any business or organisation. Historical and legacy paper documents combined with the every growing use of e-documents provide a challenge to any IT professional and organisation. Not from their storage or their backup but how to present them and the information contained within them to business in a searchable and usable format.

Most documents are created by the user and stored either in a central location or on the user’s hard drive with no logical file naming structure, no indexing and no consideration of the sensitivity of the information within it.

Although the author has an understanding to the content, when it’s needed by a 3rd party this information can be difficult and time consuming to find.

The essence of a document management system is more than a piece of software it’s an ethos that creates order and a structure for the documents, one that allows them to be referenced and collated to suit the business needs.

There are a number of considerations to take into account when planning how best to implement a document management process:

  • Does the document need to be shared between other users?
  • Is there information within the document that is sensitive or falls under the data protection act?
  • Does the document need to be searchable?
  • What formats and file types are used within the organisation?
  • When are the documents needed for?
  • What are the security implications?
  • Are they static or dynamic?

The more traditional perceived use for document management is in converting older paper documents into an electronic format. Some of the questions to consider here are:

  • Why do we need to convert?
  • What do we want to achieve once the data is in an electronic format?
  • Do we need to be able to edit the documents?
  • Do we need to search the content?
  • How much is the budget?

Conversion of paper documents needs to be well planed with clear objectives set from the start.  Projects that have not been thought through to the end needs of the business and user tend to lead to a mass file store of scanned PDF’s, which are time consuming to search for the required data.

There are a number of scan processing technologies involved in converting the original input data such as:

  • Optical Character Recognition (OCR) – converting a scan to a word document for editing
  • Intelligent Character Recognition (ICR) – converting hand written text into a document
  • Optical Mark Recognition (OMR) – used for capturing data from surveys and tests.

Greenpoint's team are able to assist you in these technologies and in planning and reviewing your document management process. Our document management professionals can advise you on the relevant scanning technologies and the data capture and processing software that is required. With our extensive IT experience we can also advise you on mass digital storage (NAS, DAS) solutions, backup and archiving and printing. To find out more contact us now.

Digital signage & interactive digital whiteboards

Digital signage
We are all accustomed to the more traditional 'bill board' advertising and the printed house details in an estate agents windows. These types of static displays are being replaced with flexible Digital Signage, its ability to refresh and display a mass of information easily and clearly help retain the attention of the viewer.

Greenpoint can advise and provide digital signage solutions that suit your requirements. Whether is a rolling advertisement, informative educational displays, doctors surgery’s arrivals or departures details Greenpoint can create a complete solution of supply, install and commission.

One of the biggest challenges with digital signage is presenting the displays in locations that are convenient to the intended audience, either in a public area with high ceiling or due to the weight of the signage itself. Our team of experienced installations engineers can advise you on the individual challenges of each bespoke installation.

Interactive digital whiteboards
Interactive digital whiteboards can now be found in the majority of classrooms across the UK, their flexibility and the students being able to interact with the content allow our educators to prepare and deliver quality lessons that are both educational and fun.

There are many environments where interactive digital boards provide a valuable addition to operations that rely on sharing information such as in fire and rescue, project planning, software development and museums.

Interactive boards come in two basic technologies, a large format HD screen fitted with a touch sensitive mask that acts as the mouse or a whiteboard that is also touch sensitive but where the image is projected on to the board via a projector. Greenpoint's sales team are able to advise you on the most intuitive solution for your requirements. To find out more contact us now.

Data recovery

In the event of total data loss, disk corruptions, water damage, cyber attack, hard disk drive failure or an accident, recovering data is a very specialist operation.

It is strongly advised that if you hear any unusual sound coming from the unit or the unit has got wet then you turn it off and disconnect it from the power (both mains and remove the battery) and seek professional help. Continuing to run the drive or powering it back up to see if 'it now works' will only make things worse.

Although we always recommend that all your data is backed up and stored in a different location, when things do go wrong, Greenpoint's recovery engineers can use synoptic processes to recover the data from your hard drive.

Depending on the severity of the problem and the financial value attached to the data we can arrange for access to specialist recovery processes that can deconstruct the drive and extract data from the disk platters themselves if they have not been damaged beyond recovery.

In all cases the way to prevent data loss is to ensure that you have made regular backup of your files, pictures and music. We can offer advice on backup routines and devices that will ensure that your data is protected and negate the need for recover. To find out more contact us now.
